What You’ll Do:
As our Administrative Assistant, you’ll be a key player in keeping our office running smoothly and efficiently. You’ll support our accounting team by handling everything from scheduling to assembling client deliverables—ensuring the businesses and individuals we support experience exceptional service.
Here’s how you’ll shine:
- Be the behind-the-scenes support for team members and firm leadership.
- Keep calendars organized, meetings on track, and client communication seamless.
- Format, assemble, and package important client documents—like tax returns, financials and retirement plan reports—with care and confidentiality.
- File and maintain client records both physically and electronically to ensure accuracy, accessibility, and compliance.
- Assist with billing processes, accounts payable/receivable support, and monthly internal reporting to help keep our financial operations running smoothly.
- Set up, update, and maintain office software and systems—while identifying and communicating ways to improve efficiency and ensure the team gets the most out of our tools.
- Manage software renewals and firm license renewals to keep our team current.
- Be the face of the firm at the front desk to create a warm, welcoming experience for visitors.
- Monitor and restock office supplies and keep equipment humming along smoothly.
- Partner with our Office Administrator to help coordinate marketing materials and firm events.
- Take on various administrative projects that make our firm more efficient and professional.

What We’re Looking For:
- Strong organizational and multitasking skills—you’re the kind of person who lives for a checklist.
- A confident communicator who’s comfortable interacting with professionals and clients alike.
- Someone who takes initiative and isn’t afraid to roll up their sleeves.
- Proficient in technology—Microsoft Office (Word, Excel, Outlook); experience with Adobe Acrobat is a bonus.
- A natural problem-solver with good judgment and a sense of discretion.
- Comfortable working independently but happy to be part of a team.
Your Background:
- High school diploma (or equivalent) required.
- 2–4 years of administrative experience, preferably in a professional services or accounting environment.
